Position Summary:

We have an exciting opportunity to join our team as a Secretary II.
In this role, the successful candidate under general direction of the Clinical Director for NYU LOH RUSK, performs secretarial duties pertaining to office operations.


Job Responsibilities:

  • Performs other duties as assigned.
  • Attendance and Additional Performance Standards: Demonstrates reliability by maintaining a good attendance/punctuality record. Adheres to departmental guidelines regarding use of and proper notification in connection with time off. Number of incidents of Unscheduled Absence: _____Number of incidents of Lateness: _____Adheres to Employee Health requirements for an annual health assessment, including TB screening and proof of all required immunizations.Maintains a professional appearance; wears identification badge at all times while at the Medical Center.
  • Demonstrates appropriate planning and time utilization: Coordinates work to achieve a higher level of productivity and efficiency during assigned shift. Demonstrates ability to recognize, establish, and deal with priorities promptly. Is willing to adjust personal schedule in conjunction with process of departmental scheduling and departmental needs. Coordinates own work to achieve efficiency.
  • Demonstrates initiative: Demonstrates ability to learn and adapt to changes in Hospital functions, management style or routines. Volunteers assistance and guidance to staff and visitors. Recommends new office systems/procedures to supervisor. Demonstrates active interest in improving current level of skills and knowledge by pursuing higher education or attaining new skills. Maintains work area in a neat and organized manner. Seeks additional assignments when assigned work is complete.
  • Demonstrates good judgment and decision-making: Demonstrates ability to exercise good independent judgment based on application of appropriate policy or procedure. Obtains and analyzes pertinent information available in order to make most informed decision, based on factual and objective data. Is able to foresee a potential situation; intervenes, if appropriate or advises supervisory personnel of situation. Advises appropriate personnel of situation. Uses policy and procedure manuals, office procedure manuals, and/or other reference materials as necessary to ensure accuracy and proper course of action.
  • Effectively communicates and maintains relationship with others: Interacts and communicates with staff and visitors in a courteous, professional, and positive manner. Maintains confidentiality of all hospital and/or physician-related information. Is attentive to others in order to respond appropriately, answer questions, or obtain needed information. Communicates ideas, problems, suggestions, and messages in a timely and effective manner. Demonstrates ability to work well with all levels of staff. Works at establishing a good rapport and professional working relationship with departmental personnel; maintains appropriate interdepartmental communications. Maintains an awareness of pertinent hospital procedures and assists staff by responding to requests for information concerning procedures (e.g. petty cash, personnel, etc.)
  • Processing incoming/outgoing documents by tallying figures and transcribing data, statistics, codes, and other information for area: Completes information correctly and neatly. Initiates follow-up with a form as needed in order to expedite or track progress through processing system. Secures accurate signatures and forwards documents/forms to appropriate destination based on pertinent hospital procedure.
  • Sets up and maintains files and complex records of department: Maintains records in an organized and up-to-date manner. Completes filing accurately.Maintains information for department in accordance with departmental, hospital, federal, state, and city agency regulations. Periodically reviews files to check whether renewals are due, copies are clear or whether additional information is necessary; initiates corrective follow-up.
  • Greets, directs, and responds to needs and requests of staff and general public: Answers telephone inquiries promptly and courteously; identifies department and section when answering phone. Directs telephone calls and visitors appropriately based on content of inquiry. Obtains information, answers questions, and resolves routine problems in accordance with departmental policies and procedures. Takes messages thoroughly and accurately directs telephone calls and visitors appropriately.
  • Collects, updates, and summarizes data and statistics for department: Submits data to Medical Director which is neat and well-organized. Requested and related information is accurate and complete. Utilizes appropriate sources to complete assignment. Follows guidelines/instructions given by Medical Director.
  • Composes, prepares, and edits general correspondence: Prepares responses which are clear, grammatically correct and meet content requirements. Completes responses and sends them out promptly. Properly formats responses and adheres to general guidelines given by Medical Director. Routes non-routine correspondence to Medical Director and attaches related records or information to correspondence.
  • Types materials utilizing current computer software: Types materials neatly and accurately and in time specified. Proofreads, edits, properly organizes and formats typewritten materials. Uses word processor efficiently; contacts service/maintenance company for needed repairs and makes suggestions to superiors for software/hardware enhancements.
  • Provides a variety of duties in support of department activities: Maintains and updates computer programs as appropriate. Prepares and reviews reports, invoices, and proposals. Checks vendor bills against departmental records and processes them in a timely manner.


Minimum Qualifications:

High School diploma or Equivalent. Three (3) years of relevant medical clerical experience. Knowledge of medical terminology. Background in computer literacy preferred. Light, accurate keyboarding skills required. Excellent organizational, interpersonal and communications skills required.


Preferred Qualifications:

Advanced business training is preferred. Bilingual preferred (English/Spanish).
