Summary of Position:
Provides administrative, secretarial and clerical support to the Veterans Benefits Department to the Director of Field Services and the Associate Directors of Field Services (Operations & Training).

Regular Duties:

  • Initiates documentation on the word processor. Performs editing, withdrawal and archiving of database information.
  • Reproduces materials and disseminates correspondence to appropriate Paralyzed Veterans of America staff.
  • Logs and routes incoming/outgoing correspondence.
  • Maintains an accurate log of all documents processed.
  • Maintains a stock of Department of Veterans Affairs and Paralyzed Veterans of America National Office forms and supplies; reorders forms and supplies as needed.
  • Orders and distributes identification badges for the Veterans Benefits Department personnel.
  • Composes and types responses to correspondence from all applicants for National Service Officer positions.
  • Establishes and maintains files on all employment applications received.
  • Schedules interviews of applicants for National Service Officer positions and makes necessary travel and lodging accommodations, as directed.
  • Maintains records of travel associated expenses.
  • Receives and reviews various materials for filing. Retrieves and returns materials by category as needed.
  • Maintains training files on all NSO/Candidates who receive training.
  • Distributes training material as directed and maintains appropriate records of distribution. Ensures appropriate safeguards are taken to preserve the confidentiality and integrity of training materials.
  • Coordinates the planning of Veterans Benefits Department Continuing Education Program with the Meeting Services Department as directed. Ensures adequate materials, equipment and supplies are available for use during seminars and arranges for appropriate shipping.
  • Serves as on-site liaison to facility staff during training sessions and other functions.
  • Assists in answering incoming telephone calls in the Veterans Benefits Department. Responds to routine non-technical inquiries from members, clients, and other persons.
  • Keeps a calendar of appointments, meetings and travel plans as directed.
  • Maintains appointment calendars for the Director of Field Services and the Associate Directors of Field Services.
  • Makes travel arrangements for the Director of Field Services and the Associate Directors of Field Services.
  • Travels as required by the Veterans Benefits Department and attends scheduled training seminars.
  • Fills in during the absence of the Field Services Administrative Assistant and as the alternate Executive Assistant for the AED, VBD.
  • Performs other duties as assigned

Desired Skills, Abilities, Experience:

  • Must have attained a high school diploma or GED equivalency certificate and at least three (3) years secretarial experience, or must have equivalent education and experience.
  • Must be proficient in the use of word processing and database software and allied computer equipment.
  • Must type a minimum of 60 words per minute without undue error and command proficient oral/written communication skills.
  • Must maintain confidentiality of all personnel information.
  • Must maintain confidentiality and integrity of all training materials.
  • Must have above average interpersonal communication skills.
