Executive Administrative Assistant Responsibilities

  • Acting as the administrative point of contact between the executives and internal/external clients

  • Working with employees and contractors worldwide via Google Hangouts and screenshare applications

Job brief
We are looking for a competent Executive Administrative Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to executive?s working life and communication.
Responsibilities

  • Act as the point of contact between the executives and internal/external clients
  • Act as a personal assistant to the President of the company
  • Undertake the tasks of receiving calls, take messages and routing correspondence
  • Handle requests and queries appropriately
  • Maintain diary, arrange meetings and appointments and provide reminders
  • Utilize Project management software to schedule tasks and ensure team is meeting deadlines
  • Make travel arrangements
  • Take dictation and minutes and accurately enter data
  • Utilize Social media for clients as per direction of the Executive team
  • Monitor office supplies and research advantageous deals or suppliers
  • Produce reports, presentations and briefs
  • Develop and carry out an efficient documentation and filing system
  • Handle Billing inquiries and set up accounts
  • Handle daily book keeping
  • Do daily reportingRequirements
  • Proven experience as an executive administrative assistant, senior executive assistant or in other secretarial position
  • Prefer Professional Dress Code. Some days may be business casual. Always be presentable for Executive meetings unless otherwise notified.
  • Full comprehension of office management systems and procedures
  • Excellent knowledge of MS Office and Google Docs
  • Must have STRONG COMPUTER SKILLS. Including using Drive, Box, Cloud Storage, Google products, email, etc.
  • Proficiency in English
  • Exemplary planning and time management skills
  • Up-to-date with advancements in office gadgets and applications
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills
  • Handle daily contracts for company and clients
  • Work closely with legal staff as needed
  • Discretion and confidentiality
  • High School degree; Associates Degree minimum requirement. Additional qualification as personal assistant would be considered an advantage

We have 2 positions available. 1 FULL TIME and 1 PART TIME. Part Time we will consider Internships.
