Major Duties and Responsibilities:
Under direction, provides secretarial and non-routine administrative support (i.e., independently formulates decisions and/or judgments involving non-legal interpretation of policies and procedures as they would apply to given situation to resolve problems, to prepare correspondence and/or reports or to carry out other assignments) (e.g., responds to correspondence and communication both verbally and in writing; writes, reviews, summarizes and/or edits operational reports; researches and prepares data for budget inclusion; monitors spending and maintains office fiscal records; communicates decisions and directive and/or assignments to appropriate staff; represents office on inter-office task forces or committees; reviews and summarizes reports on operations; organizes and/or assists in organizing conferences; coordinates acquisition of office supplies and communicates to office point of contact for procurement); maintains calendar and assists in scheduling for assigned Office of Information Services (OIS) management staff (i.e., Chief information Officer; Assistant Deputy Director of Software Engineering).
Performs secretarial tasks (e.g., utilizes personal computer to prepare confidential correspondence, reports, and other documents; maintains confidential files; assists Administrative Professional staff as needed in making travel arrangements for Bureau staff; takes meeting minutes and prepares for distribution; prepares payroll reports and/or timesheets); handles sensitive telephone calls and routes calls to appropriate parties for response; performs clerical tasks (e.g., receives, opens, logs, distributes incoming mail; answer phone and screens calls; greets and directs visitors; maintains inventory of general office supplies and orders as needed; maintains files and retrieves information); prepares routine forms; prepares record retention and disposal schedules and arrange record transfers; completes and submits forms for human resources requests; assists OIS as needed with Timekeep, workflow requests, general service needs, general office functions [e.g., makes travel arrangements, composes correspondence and reports, arranges meetings and conferences, orders and tracks supplies]; answers, screens and directs phone calls; opens and distributes mail).
Performs other related duties as assigned (e.g., attends and/or conducts meetings to obtain and disseminate information; attend training sessions; participates as committee member; assists with special assignments; establishes and maintains reporting systems for assigned areas of responsibility; maintains logs, records and files; assists with budget planning.)

The ideal candidate, at minimum, must have at least the following:
Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college; and 12 mos. exp. in secretarial/administrative professional field.
Or 30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field.
Or 12 mos. exp. as Administrative Professional 2, 16872.
Or equivalent of Minimum Class Qualifications For Employment noted above.

The candidate selected for this position would be expected to possess the following characteristics to perform the essential duties of the job.
Knowledge of English grammar & composition; arithmetic that includes addition, subtraction, multiplication & division; records management; business communications; administrative practices & procedures*; general office practices & procedures; agency-specific office practices & procedures*; budgeting*; government structure & process*.
Skill in keyboarding; business office software applications (e.g., Microsoft Office); operation of personal computer & office machines (e.g., transcribing equipment, calculators).
Ability to deal with problems involving several variables within familiar context; apply principles to solve practical, everyday problems; interpret instructions in written or oral form; write routine business letters following standard procedures; complete routine forms or records; make appointments; arrange items in numerical or alphabetical order; move fingers easily to perform manual functions; assess questions & provide appropriate information or referral.

Unless required by legislation or union contract, starting salary will be the minimum salary of the salary range (step 1, currently $20.87 per hour) associated with this position.
